Business systems

One system that replaces the spreadsheets, WhatsApp groups and tools that don't talk to each other.

Most businesses reach me when work is already spread across three or four places: a spreadsheet for orders, a WhatsApp group for the warehouse, an accounting package, and a lot of knowledge that lives in one person's head. I build one system around how your team already works, instead of forcing you to fit off-the-shelf software.

What usually hurts

  • Scattered information

Orders in WhatsApp, inventory in Excel, customers in a notebook. Nobody sees the full picture, and every simple question means asking three people.

  • Double entry and mistakes

The same order is typed two or three times — into orders, accounting and shipping. Every copy is a chance for an error.

  • Software that doesn't fit

Generic systems make you work the way they think you should. The result: workarounds, unused fields and people drifting back to Excel.

What's included

  1. 01

    Customers and sales

Customer records, order history, sales reps and per-customer pricing in one place.

  2. 02

    Orders, inventory and purchasing

From order to delivery: live stock, warehouse picking and supplier purchase orders.

  3. 03

    A screen for every role

Rep, warehouse, manager and B2B buyer each see only what they need, with permissions enforced on the server.

  4. 04

    Reports and dashboards

Sales, stock and margins update on their own, with Excel export when you need it.

  5. 05

    Connected to your tools

Accounting, marketplaces, couriers and email, so data flows without manual copying.

  6. 06

    Works on a phone

Built for the field: reps, drivers and warehouse staff use it on mobile, including barcode scanning.

How it works

  1. Map the process

I sit with the people who do the work and follow an order from the customer to the invoice.

  2. Spec and screens

A list of screens, roles and permissions, plus a data diagram — before any code.

  3. Build in stages

We start with what hurts most. Every week or two there's a version you can use and comment on.

  4. Data migration and rollout

Your spreadsheets and existing systems are imported, and I support the team through the first weeks.

  5. Keep improving

After launch the real requests arrive. We keep improving based on what the team needs.

Questions about this service

More questions? Read the FAQ

  • Why not buy a ready-made CRM or ERP?

Sometimes that really is the right call, and I'll tell you so. A custom system pays off when your process is unique, when you're paying for many seats, or when you need integrations an off-the-shelf product doesn't offer.

  • How long does it take?

A first version covering the core process usually takes a few weeks to two or three months, depending on scope and integrations. We start with the important part and add in stages.

  • What about the data we already have in Excel?

We move it. Part of the work is cleaning and structuring existing data so the system starts with information you can trust.

  • Do we own the system and the code?

Yes. The code, the data and the cloud accounts are yours, so you never depend on me to keep going.
